Accounts Payable Overall Purpose of Position
The Accounts Payable is responsible for the daily activities and processing of accounts payable transactions. The Accounts Payable is also responsible for the month end reconciliation of accounts payable and miscellaneous accruals, sales and use tax filing, and any other general Accounting Department activities as assigned.
Accounts Payable Essential Duties and Responsibilities
- Develops accounts payable related procedures.
- Responsible for timely payment of vendor invoices including management of discounts.
- Responsible for timely filing and payment of sales and use taxes.
- Responsible for A/P compliance and timely filing of payment related governmental reports and documents such as W-9, W-8, 1099, 1098, etc.
- Responsible and accountable for maintaining accurate petty cash records and posting petty cash activity.
- Reconciles accounts payable, accrued liabilities, and due from employee travel advance accounts.
- Performs month end and reporting activities as assigned such as month end reconciliation of accounts and posting of journal entries as assigned, preparation and issuance of monthly expenditures reports, assistance with audit prep and testing, etc.
- Responds to inquiries regarding payment, invoice, and discount details.
- Assists with payroll processing and reporting as needed.
- Assists with all other general accounting functions as assigned.
Accounts Payable Skills and Qualifications
- High School diplomas or equivalent plus minimum 5 years account payable experience.
- Familiarity with accounts payable related compliance, reporting, and general sales and use tax rules.
- Attention to detail and accuracy.
- Knowledge of expense classification.
- Ability to lead other in account payable related procedure development.
- Experience with integrated accounting systems.
- Proficiency in Excel, online banking and reporting, 10-key and governmental web searches.
- Strong mathematic skills.
- Ability to independently learn new tasks and functions with limited support.
- Strong communication skills to interact with internal customers and external vendors and tax authorities.
